Client in Easley/Powdersville area is searching for qualified candidates to fill an Administration Purchasing and Support Specialist:

Hours: 8am-5pm (M-F); with minimal to no overtime. (Temp/Hire)

Pay: $20.00 

 

This position will be responsible for procuring supplies and services for the main office and providing administrative support to the management team.  Duties include preparing purchase orders, maintaining inventory records, supporting departmental reporting, and ensuring compliance with purchasing policies.

Purchasing

  • Maintains a thorough knowledge of the PW Procurement Policy and any applicable state and federal laws and regulations.

  • Procures and manages supplies, equipment, and services related to office operations, equipment maintenance, and facility support.

  • Maintains/creates purchasing procedures for the staff that facilitate compliance with the PW Procurement Policy and provide adequate control of inventories that result in timely and accurate provision of materials and services to all areas of the company.

  • Monitors minimum stock quantities, places orders, coordinates shipping and deliveries, and confirms bills of lading before sign-off and forwards delivery receipt documentation to Accounts Payable.

  • Coordinates purchasing of mobile phones, iPads, office, kitchen, and restroom supplies, paper products, coffee delivery, catering, promotional materials, printing services, etc.

  • Supports procurement of IT services and professional services (legal, audit, engineering, etc.).

  • Develops and maintains vendor database. Maintains professional, productive, and cordial relationships with all vendors and service providers. Seeks to negotiate pricing structure favorable to PW.

  • Develops and maintains professional, cordial, and productive relationships with all PW personnel for timely and appropriate response to all procurement requests.

  • Maintains and improves knowledge of all areas of the company, including operations & maintenance, regulatory compliance, construction & development, as well as office machines and supplies, to be knowledgeable enough to manage the procurement process.

 

Administrative Support

  • Coordinates training and travel arrangements for staff and Board members.

  • Manages insurance claim processing, professional dues and subscriptions, memberships, etc.

  • Coordinates document transfers for storage, retention, and shredding in accordance with records retention policy.

  • Manages the sale or disposal of all salvaged office equipment, IT assets, etc. in an ethical manner and in compliance with the PW Procurement Policy.

  • Provides administrative support to the Executive Director, Director of Finance and Administration, Financial Services Manager, and Customer Service Manager.

  • As time allows, provides support to Project Coordinator in document scanning/digitizing and organization.

  • Other duties as assigned

Qualifications:

  • High School Diploma or GED equivalent required with 2-4 years of vocational training preferred

  • Minimum of 2 years of experience in administrative office environment

  • Thorough knowledge and experience using Microsoft Office Suite

  • Excellent verbal and written communication skills

  • Experience in water utility administration preferred

  • Experience with GIS (Geographical Information System) mapping a plus

  • Valid SC Driver’s License
