This role is responsible for management of the Corporate Office and remote office facilities, environmental health and safety, fleet vehicle program, company travel program, public/community relations, and related Administration functions.

Position Duties and Responsibilities:
Administration Function
Develops, implements, and communicates corporate policies that address each area of responsibility.
Manages/coordinates the cafeteria vendor
Directs and coordinates offices services, including, internal/external mail distribution and employee communications
Manages company Records Retention and Contracts programs. Develops and implements policies and procedures for such.
Acts as liaison in managing safety/environmental matters and in administering loss prevention programs, including Worker s Compensation, Property and Liability Insurance, Certificates of Insurance.
Supervises Administrative Department staff, including Facilities personnel.
Takes responsibility for other duties as assigned.

Facilities Management
Responsible for all aspects of the Corporate Facility., including building systems, maintenance, safety, security, vendor contracts, budget, etc.
Centrally administers in remote office in US, including lease and contract management, renewals, relocation, outside services, budget, etc.
Establishes and maintains security procedures that protect property and people on Company premises.

Environmental Health & Safety (EHS)
Establishes and promotes the maintenance of safe and healthy working conditions, in compliance with local, state and federal regulations.
Recommends measures to prevent industrial accident and health hazards. Partners with the business units and insurance providers to assess work related accidents and provide appropriate accident prevention training.
Maintains crisis management and emergency response procedures and team members.
Manages environmental protection issues and acts as environmental management representative. Manages all company waste, recycling and scrap processing & handling. Negotiates with outside contractors for waste removal/processing services.
Facilitates reporting and compliance with Company s EHS risk management activities.

Fleet Vehicle Program
Establishes policies and procedures for Fleet Vehicle Program.
Manages the program details including coordination of vehicle selection with senior management, ordering and transfers, accident claims, invoice validation, etc.

Essential Education, Skills and Experience
Bachelor s degree in Facility Management, Business Administration, Engineering or related field.
Minimum of 7 years progressive management experience with a strong emphasis on facility management and EHS.
Working knowledge of relevant health and safety regulations at the local, state, and federal level.
Supervisory skills for management of Administration and Facilities teams.
Communication skills, for effective oral and written communication at all levels internally.
Experience in negotiation with outside vendors.
Strong analytical/critical thinking and problem-solving skills.

Beneficial Education, Skills and Experience
Certification in facilities management
Membership in professional organizations, e.G. International Facilities Manager Association (IFMA), Building Owner Manager Association (BOMA), National Safety Counsel.
Fleet Vehicle management experience
Experience with managing remote facilities
Knowledge of the Japanese Culture as it pertains to business conduct, and communication.
